BASF has chosen Veeva as a key technology partner for digitizing data, documents as well as controlled processes across some of their Regulatory and Quality functions. The Agricultural Solutions operating division and BASF’s toxicology department rely on Veeva to simplify and automate their most demanding compliance and other processes. Care Chemicals has recently started a pilot utilizing a Veeva Quality Cloud solution and considers enlarging significantly.

Over 150 users benefit from automated, user-friendly processes on a standardized cloud-based platform that is integrated with LIMS and other systems. 

They streamlined the compilation of a large number of documents (with up to 10,000 pages each) in a single study report. These study reports are shared with customers and authorities. They are a key part of the global go-to-market process for chemical and crop protection products.

The Goal

The BASF Toxicology team was looking to simplify their complex, data and document intensive processes. Their highly customized bespoke solution couldn’t keep up with the growing volume of documents and was no longer state of the art. They sought a flexible, future-proof, compliant solution to break down information silos, continuously improve processes, increase collaboration, and streamline compliance. 

Robert Geiger, Team Leader Study Logistics and Digitalization, remembers: “We didn’t want to just replace the limited scope of our old tool with a new piece of technology. We needed a solution that adds value and gives us the flexibility to integrate and digitalize further related processes.”

The Strategy

“In the course of study planning and execution, we collect and analyze highly complex information internally and externally, for example in LIMS and other systems. All this information must be compiled in one study report that can be submitted to authorities or shared with customers to extract certain data. Many different systems are involved. In the Veeva solution, all data and documents are combined and integrated. It’s our single source of information,” explains Geiger.

Geiger highlights the cooperation with the Veeva Services Team from the very beginning of the project: “Leveraging Veeva Professional Services has absolutely paid off. The cooperation with the architects, developers and project managers works flawlessly and has brought our solutions to success. It is worth it.”

Heading into their digital transformation journey, BASF’s Toxicology unit wanted a future-proof and scalable solution. User-friendliness and high performance were key demands. Veeva was recommended by their colleagues from BASF Agricultural Solutions, who manage submission dossiers and other regulatory content with Veeva Vault globally – working closely with the Toxicology team. Based on successful past projects and the convincing performance of the user-friendly technology, the Toxicology team started to evaluate Veeva as a potential solution provider and partner.

Results and Future Outlook

“Veeva’s solution is highly modular and configurable. It can map any document-based process, even our very specific processes. It helps us to make highly complex processes simpler and easier for users to manage. Some processes that had been very manual before can now run up to 70% automated,” states Geiger. “For example: we transfer data from our project management tool to Veeva and almost the entire report is filled automatically. That transfer was manual before. The employees who benefit from this are very happy with the solution.

Of course, in some cases additional training and clarifications are needed. Especially if new processes have little integration of data flows and users are asked to add more data than before manually to help other functions and improve reporting. 

“We are working on making life easier for them, too, by redesigning processes and making them clearer,” says Geiger. “However, most of the users appreciate the modern, intuitive, standardized solution.”

Looking ahead, Geiger plans to evaluate transitioning further quality assurance and certification processes into Veeva. These new initiatives would build on past successes and could provide greater opportunity for BASF Toxicology to deliver accurate, compliant and reliable toxicology study reports faster.
